Role and Responsibilities

  • Uphold and manage the full process of statutory requirements aligned to OHSA for the office

  • Responsible for all domestic and international travel arrangements for staff, directors and founders

  • Responsible for all courier and postal arrangements related to office, directors and founders 

  • Manage the full process of all office events

  • Perform reception duties of welcoming guests, coordinating meeting and office meeting space with meeting refreshments (when needed)

  • Distribution of office delivery packages to relevant staff members and founders

  • Arrange all requirements around ad-hoc staff special occasions (when needed)

  • Address and action all building maintenance (when needed)

  • Manage Senior Management diaries 

  • Responsible for the maintenance of the office phones (PABX)

  • Perform switchboard duties, answer calls and deliver messages

  • Responsible for all maintenance and ad hoc related tasks for company vehicles and senior management vehicles

  • Manage, source and maintain office suppliers 

  • Responsible for the ordering of office stationery, monthly office grocery and monthly founders’ home office groceries

  • Responsible for the upkeep of the office printers

  • Manage the process of office mobile device contracts, sims and data purchase and cancellations

  • Manage the full process of office security and access process

  • Responsible for all office facilities

  • Submit all office-related expenses for approval via finance application supporting tools

  • Management of office housekeeper and office handyman

  • General company purchase of office furniture and equipment

  • Arranging office parking for senior management and visitors (when needed)

  • Perform ad hoc tasks (when needed)

  • Mentor junior members (when needed)

  • Accelerate learning and growth through self-development 

  • Escalate all office related issues to senior management team timeously

Minimum Requirements

  • Matric and relevant qualifications related to Office Management

  • Minimum of 3-5 years of working experience within an office management role

  • Have a valid driver’s license and own reliable vehicle

  • Competent in using GSuite and MS-Windows

  • Knowledge of Occupational Health and Safety Management and Environmental laws

  • Exceptional communication skills (written and verbal) on all levels

  • Must be able to multi-task and ensure all tasks are completed within given timeframes

  • Self-starter: highly motivated / enthusiastic / energetic

  • Highly organized with attention to detail

  • Able to work under pressure whilst remaining adaptable, focused and flexible

  • Decisive and assertive when appropriate

  • Ability to build durable relationships

  • Use own initiative and be proactive

  • Well-groomed and highly presentable

  • Comfortable in a rapidly changing environment
